3. What happens once my reservation is sent through your web site?
Your request/inquiry is forwarded directly to the appropriate booking agent. During business days and business hours, you can expect the booking agent to receive ("download") your request/inquiry within 2-3 hours.
A reservation number/reference is assigned to your request/inquiry (either automatically during the booking request process or by the booking agent)
Within 24 hours, the agent will contact you with either:
- a confirmation detailing your reservation and payment instructions (if no deposit was made at the time of your booking request).
- or a notice of unavailability.
After your confirmation by e-mail and payment of a 1 night deposit (if no deposit was made at the time of your booking request), the booking will be confirmed with the hotel.
4.Can I make a reservation directly with the hotel?
We can only offer our special rates if our booking agents are responsible for the hotel bill. Therefore you can not pay at desk.
We actually suggest NOT to contact the hotel directly as in some cases it may seriously interfere with your booking process.
If you would like to make a reservation with the hotel directly you will need to contact the hotel directly and you will usually be charged the desk rate that is on average 50-200% more (that is up to 3 times our agents rates)
7. Will the hotel confirm the reservation I made with your web site if I contact the hotel by e-mail?
In most cases, NO.
This is because the reservation staff of the hotel is NOT responsible for handling your reservation by e-mail.
(Your booking agent is responsible for handling your reservation).
However you may contact the hotel anytime (we suggest by telephone or fax) after your reservation is confirmed to check about the status of your reservation.
12. What minimum notice do you need to handle my reservation?
Several of our agents are working on Sundays and public holidays. However it may not always be possible to contact the reservation officer of some hotels on Sundays and public holidays. While in Bangkok some agents may not work on every Saturday and most agents do not work on Sundays.
Therefore we strongly advise that reservations are made at least 2 working days (not including Saturdays - Sundays & public holidays) before the check-in date.
14. How do I check-in at the hotel? Do I need to show a voucher?
If you make reservations with international wholesalers they will usually issue vouchers. Some web sites will issue vouchers only in order to re-assure their customers.
HOWEVER YOU USUALLY DO NOT NEED TO SHOW ANY VOUCHER for reservations made by local travel agents.
In most cases we do NOT issue vouchers. Since the hotel will already have your booking on record, it is not mandatory to show any voucher or e-mail (but surely we suggest to keep your confirmation e-mail with you if you happen to need this information).
In most cases, you can check-in with your PASSPORT only.
For a few more demanding hotels, a voucher will be issued by the travel agent and sent by fax to the hotel and by e-mail attachment to you.
This will be informed/explained by e-mail when needed.
Notes:
-Your PASSPORT is absolutely required.
-At many hotels a valid CREDIT CARD is also required to cover possible extra expenses like mini-bar charges etc. (If in doubt, please confirm with the booking agent whether you will need a credit card to check-in)
15. When will my reservation be confirmed?
Only after your confirmation by e-mail AND your payment of a one night deposit will your reservation be confirmed with the hotel.
The e-mail reply received within 24 hours is NOT a confirmation of your reservation. It is a confirmation that room(s) is/are available for your requested period.
Provided availability was confirmed by the agent and your credit card payment has cleared the bank, your hotel room(s) is/are confirmed when you click on the pay button. (Please note: you must first have received a confirmation from the agent. A payment on hold alone can not confirm a reservation).
16. Your booking system answers that rooms are available and I already authorized payment for the first night of my reservation. Does it mean that my reservation is confirmed?
IF YOU DID NOT RECEIVE E-MAIL CONFIRMATION FROM THE BOOKING AGENT: SORRY - NO.
In most cases it means that your request, if urgent, will be handled with priority by the booking agent - and that a reservation with the hotel should be confirmed very shortly.
HOWEVER there can be cases during periods of high occupancy when availability is confirmed on-line but when reservation could not be processed by the agent.
This is why THE ON-LINE AVAILABILITY INFORMATION IS NOT AVAILABLE FOR SEVERAL HOTELS DURING PERIODS OF HIGH OCCUPANCY and why we can only offer you to wait for the booking agent confirmation.
We work with local travel agents that are not part of wholesale networks and usually do not work with room allocation systems.
As you probably noticed, the F.I.T. (Foreign Individual Travel) rates offered through selected local agents most often beat wholesalers and other Internet rates.
We believe the 24 hours confirmation delay is a small price to pay in order to get access to the best possible rates through a network of dedicated local agents who will do all they can to confirm your reservation request(s).
19. Do I need to pay immediately after receipt of the confirmation e-mail?
No. However we strongly advise you to do so. There are several reasons why you should pay as soon as possible.
1. You can cancel a reservation up to 2-5 days (required notice depending on the booking agent and processing bank) prior to the check-in date and will be charged only a 200 baht administrative fee. The rest of your payment will be refunded.
2. You save the booking agent the extra work of following-up on your un-paid reservation.
Although most agents will handle the work efficiently, a reservation that is left un-paid for too long can be lost without you being informed.
The agent will usually request for your payment a second time and not a third time. If you would like to make a special agreement for a delayed yet timely payment, you will need to inform the agent as soon as possible after reception of the notice of availability.
As a general rule, a booking request that is un-confirmed/ un-paid 5 days prior to the check-in date, will not be held.
Please note: The e-mail reply received within 24 hours is NOT a confirmation of your reservation. It is a confirmation that room(s) is/are available for your requested period.
Only after your confirmation by e-mail AND your payment of a one night deposit will your reservation be confirmed with the hotel.
20. Can I contact the booking agent after check-in to extend my reservation at the same rate?
Yes, you can and in most cases it will be possible to extend your reservation. However we strongly advise you to make your reservation for the full duration of your stay if your dates are firm and decided (of course especially during periods of high occupancy).
In order to extend your booking after arrival, you MUST contact your travel agent either by phone, fax or e-mail.
The hotel will almost NEVER extend your reservation at your request if the original reservation was made by a travel agent - or the rate charged will almost certainly be the desk/walk-in rate.
21. Can I contact the booking agent after check-in to shorten my reservation and get a refund for the unused part of my reservation?
Most agents will be cooperative/understanding regarding amendment and shortened reservations. However the decision ultimately rests with the hotel - not the agent.
After your check-in and payment for the full duration of your reservation to the hotel, the agent must abide by the specific hotel policies.
Howewer, if the hotel agrees to refund any partially unused reservation, the agent will certainly refund this part of your payment as well.
We strongly advise you to make your reservation for the exact duration of your stay (not more - not less) if your dates are firm and decided.
